O3’s implementation approach facilitates quick wins with minimal disruption. The goal is to drive our clients to self-sufficiency as soon as possible.

SMARTStart is an agile, project management approach where we plan and measure progress in 2 – 4 weeks Sprints. Projects can be summarized in the following phases:

Phases

Phase 1: Kickoff

All stakeholders participate in kick-off workshops to build relationships, discuss implementation strategies, identify project challenges. Together, O3 and the client build the first Sprint activities based on the project phase & available client resources.

Phase 2: Process Alignment & Configuration

After updating the applicable processes, O3 will configure roles, permissions, settings, and workflows. This step also includes identification and management of technical requirements. All of the decisions, actions, and issues identified are tracked in collaborative boards so everyone on the project has real time visibility into progress.

Phase 3: Data Testing & Validation

O3 will evaluate our client’s current data sets (manual or outside solutions) and help develop import templates. After testing and validating data consumption, the technical team will begin building and testing automatic integrations. The PM provides a Data Management Plan (DMP) so all stakeholders understand how data will flow in-and-out of O3.

Phase 4: User Training

Users will learn O3 via self-paced training and live interactive sessions. All clients receive a Training Site Project that allows users to practice functions in a sandbox environment. Although training approaches vary by client, O3 fosters a train-the-trainer program to build client super users. Training courses and completions are tracked in O3 for optimal learning visibility.

Phase 5: Go Live & Measure

Clients will experience multiple “go lives” in alignment with Sprint planning. O3’s change management strategy is to take user groups live on features in concert with the project phases and milestones. After each go live, the combined O3 and client team will measure progress, goals, and KPIs via customized dashboards.

Phase 6: Self-Sufficiency

O3 loves our clients, that is for sure! But the end goal is to set the stage for self-sufficiency. We set a target date for this phase at the beginning of the implementation, and tracks progress along the way. O3 delivers all scoped services, configurations, training, and data needs prior to scheduling an implementation close-out. Once clients enter this phase, they are invited to participate in continued learning via O3 Certifications.
